Who books business travel

For the people who arrange the ride

Many business rides are booked by someone other than the passenger. The quote form is set up for that, and we confirm the trip with whoever books it.

Arranging a ride for someone else

In the quote form, choose For someone else. Your details go in as the organizer, and the passenger's name and phone number go in below, so your chauffeur knows who they're meeting and how to reach them.

We confirm the trip with you, and before the day we confirm where your traveler will be met: the curb at arrivals, a hotel lobby or the front of an office tower.

If the traveler should also get the confirmation, or you'd like the company name on the request, add it in the notes.

  • The traveler's name and mobile number
  • The flight number for airport pickups
  • The meeting address and the time they need to be there
  • How many passengers and bags

Single rides, hourly time or both

Business days come in a few common shapes. Here's how each one usually books, with a link to the details.

Have the itinerary ready?

Paste the schedule into the notes, flights and meeting times included, and we'll quote the whole day.

Lobbies, loading zones and conference entrances

Small details at the curb save the most time. Financial District towers often have entrances on two streets. Large hotels around Union Square and Nob Hill may have a separate car entrance, and the conference venues around Moscone Center often set their own drop-off areas.

Tell us the entrance to use and anything the building expects: a loading zone, a lobby where visitors wait, or a campus visitor entrance in Mountain View or Menlo Park. If a meeting has no fixed end, booking hourly means the car is already outside when it's over.

Airport pickups include 45 minutes of free waiting time. Other pickups include 15 minutes. Free waiting time starts at the scheduled pickup time you choose. Additional waiting time and extra hours are charged per minute at the hourly rate for your vehicle class.

Teams, speakers and visiting guests

Speakers and VIPs

For a keynote speaker or a guest of honor, the Luxury Sedan, a Mercedes-Benz S 580 or similar, seats up to 2 passengers with 3 bags. Add meet & greet to an airport arrival and your chauffeur meets them inside. Meet & greet is an extra charge, shown in your quote.

Moving a group together

A small team fits an SUV, up to 5 passengers and 6 bags. For a larger group heading from a hotel to an offsite or a dinner, the Luxury Sprinter takes up to 14 passengers and 14 bags.

Guests on different flights

If guests land at different times or at different airports, list every name and flight number in your notes. We'll explain in your quote how we can handle it.

How it works

From the first request to a confirmed ride

The same three steps apply when the ride is for you, your executive or a client. Nothing is reserved until you confirm the quote.

  1. Tell us about the trip.

Add your pickup, drop-off, date and time in the planner, then your name, email and phone number. It takes about a minute.

  2. Get your quote.

We reply with availability and a price for a vehicle that fits your group and your luggage.

  3. Confirm, and you're set.

Your trip is booked once you confirm it. If plans change, cancellation is free at least 24 hours before pickup.

Sedans for one or two, SUVs and a Sprinter for teams

Sedans suit an executive or a client traveling light. SUVs fit a small team with luggage, and the Luxury Sprinter carries a group. Passenger and bag numbers are separate maximums. A full car leaves less room for suitcases, so tell us your bag sizes and we'll choose the right vehicle with you.

Compare the fleet

Offices, campuses and airports across the Bay

We drive in all nine Bay Area counties: Alameda, Contra Costa, Marin, Napa, San Francisco, San Mateo, Santa Clara, Solano and Sonoma. That covers downtown San Francisco, the Peninsula, the Silicon Valley campuses of Santa Clara County, the East Bay from Oakland to Walnut Creek, and all three airports.

Executive car service questions

Can an assistant book for an executive?

Yes. Choose For someone else in the quote form and add the executive's name and phone number. We confirm the trip with you, and confirm where to meet before the trip.

Do you offer corporate accounts or invoicing?

Ask us. Tell us how your company handles travel when you request a quote, or call us at (415) 881-6199, and we'll tell you what we can set up.

How does payment work?

Your quote shows how and when payment is due. If your company has a process we should follow, ask us when you request the quote.

Can a hotel concierge book a car for a guest?

Yes. Book it as For someone else with the guest's name and phone number, and tell us which hotel entrance to use. We confirm the details with you.

Which vehicle suits a client pickup?

For one or two passengers, a sedan: the Executive Sedan (BMW 7 Series or similar) or the Luxury Sedan (Mercedes-Benz S 580 or similar). For up to five, an SUV. For up to 14, the Luxury Sprinter. Compare them on the fleet page, and tell us the bags too.

What if a meeting runs late?

On an hourly booking, the car stays with you for the whole booking. Additional waiting time and extra hours are charged per minute at the hourly rate for your vehicle class. On a one-way ride, call us at (415) 881-6199 as soon as you know, and we'll work out the pickup with you.

Can you meet a traveler inside the terminal?

Yes. Request meet & greet in the quote form and your chauffeur meets them inside at arrivals. Meet & greet is an extra charge, shown in your quote. Airport pickups include 45 minutes of free waiting time.

What if the schedule changes or the trip is canceled?

Call us at (415) 881-6199 as soon as something changes. Free cancellation at least 24 hours before scheduled pickup. It's counted in Pacific time from when we receive the call or email. Later cancellations and no-shows are charged the full reservation price.

How is corporate car service priced?

We quote every trip individually, so you see the price before anything is booked. It depends on the vehicle, the distance or hours, the date and time, and any stops, and it includes gratuity, tolls and parking.
