Build your wedding transportation timeline

Wedding days run on a schedule, and the cars run on it too. Here's how to list who rides where and when, build the timeline out from the ceremony, and turn it into one quote request.

Who rides

Start with everyone who needs a ride

Before times or vehicles, write down the groups. Each one may travel on its own schedule, and that list is what we quote from.

Map each place and how cars reach it

Write down the address of every place in the day: where each group gets ready, the ceremony, any photo stops, the reception, and where everyone goes at the end of the night. Add hotels if guests are staying in more than one.

Then ask each venue where cars can drop off and wait. Venues know their own rules: a loading zone, a side entrance, a gate code, a time when the drive is closed for setup. San Francisco City Hall has entrances on several sides, so confirm which one you'll use before the day.

Photo stops are part of the route too. Around the city, couples often choose places like the Palace of Fine Arts, Crissy Field or Lands End. List yours in order so we can see the shape of the afternoon, and if you'd like a longer drive past the sights, our city tours page shows how that works.

Room to move

Allow for the dress, the flowers and the photographer

Getting into a car in a wedding dress takes longer than anyone expects, and so does arranging a train so it doesn't crease. Photographers often want shots at the car door before you leave. Build a little slack into every departure.

Space matters as much as time. A full gown, bouquets and garment bags need room, so tell us what's coming along. Our vehicle and luggage guide explains how we count it, and the fleet page shows each class.

A sedan suits the couple on their own. An SUV gives a full dress more room, and the Luxury Sprinter keeps the wedding party together.

Work backward from the ceremony time

Start with the time each group needs to be at the ceremony, then work back to a pickup time, with room to spare. Then work forward: photos, the reception and the last rides home.

The example below is a City Hall wedding with photo stops and a reception. Every time, place and vehicle in it is an example; yours depends on your venues, your photographer and your guest numbers.

Send your timeline, even in draft

Rough times are fine. We'll reply with vehicles for each group and a price, and you can update it as your plans firm up.

Keep a car all afternoon or book separate rides

If the couple's car stays with you between the ceremony and the reception, that's an hourly booking with a 3-hour minimum. It's the simpler choice when photo stops might run long or change order.

If a group only needs to get from one place to the next, each leg is its own point-to-point ride, with up to five stops per trip. That often suits the wedding party and family. The hourly or point-to-point guide explains the difference in more detail.

Late finishes are easy to underestimate. Additional waiting time and extra hours are charged per minute at the hourly rate for your vehicle class.

Family and guests

Rides for family and hotel guests

Tell us how many guests need a ride, from which hotels, and between which places. The Luxury Sprinter carries up to 14 passengers, and larger groups are covered with more than one vehicle or more than one trip; your quote sets out how.

At the end of the night, one ride can drop guests at more than one hotel, with up to five stops per trip. Guests flying in for the weekend can book their own airport transfers.

Events around the wedding, such as a rehearsal dinner or a brunch the next day, can go in the same request with their own dates and times.

Quote the Luxury Sprinter

Name one contact who isn't the couple

Pick one person to be the contact on the day: a coordinator, a planner or a calm friend. Send us their name and mobile number with the request. The couple has enough to think about.

If anything changes on the day, that person calls (415) 881-6199. We're available 24/7. Give them what they need to answer the wedding party's questions too:

  • The final timeline, with every pickup time and address.
  • The number of people in each group, and who rides with whom.
  • Each venue's contact for access questions, such as a loading zone or gate code.
  • Our number and email, saved in their phone before the day.

When to book and what to check in your quote

Ask for a quote once your venues and times are set. Weddings book early, and having every detail ready means we can match vehicles to all your groups at once.

Your trip is reserved only after we confirm the vehicle, time and price with you. Free cancellation at least 24 hours before scheduled pickup. Later cancellations and no-shows are charged the full reservation price.

Our wedding transportation page covers vehicles and how we plan the day, and the cancellation policy has the full terms. Before you confirm, check that:

  • Every group and pickup on your timeline has a vehicle.
  • The couple's car is booked by the hour if it waits between places.
  • The child seats you asked for are confirmed with the price.
  • The day-of contact's name and number are on the booking.

Common questions.

Do we give you the ceremony time or the pickup times?

Both. Give us a pickup time for each ride, and the ceremony time too, so we can see how the day fits together.

Should the couple keep one car all day?

If the car waits between the ceremony, photos and reception, an hourly booking is simpler, with a 3-hour minimum. If the couple only needs one or two rides, they can be booked separately.

Can the whole wedding party ride together?

The Luxury Sprinter carries up to 14 passengers. Larger parties need more than one vehicle, and your quote shows how we'd cover it.

What if the ceremony or photos run late?

Pickups away from the airport include 15 minutes of free waiting time. Free waiting time starts at the scheduled pickup time you choose. Additional waiting time and extra hours are charged per minute at the hourly rate for your vehicle class.

How do we plan a City Hall wedding with photo stops?

Send your ceremony time and the photo locations in the order you'd like to visit them. The couple's car is usually simpler by the hour, since photo stops rarely run exactly to plan.

Can one ride drop guests at different hotels?

Yes. A trip can include up to five stops, so list the hotels in your request.

Can you add the rehearsal dinner or a brunch?

Yes. Add them to the same request with their own dates, times and addresses, and we'll quote them together.

Who should be our contact on the day?

One named person who isn't the couple, such as a coordinator or a friend. They call (415) 881-6199 with any change. We're available 24/7.

Have a draft timeline?

Send it with the number of people in each group. We'll reply with vehicles and a price.
